Depending on final numbers and where we are, I'd highly recommend negotiating a 1 price fits all 'banquet' kind of set-up for the Saturday night so it can be pre-paid.
Most decent restaurants, hotels, etc can cater for this and still enable some choice on the menu. They can also accommodate special dietary needs if told in advance.
If there's gonna be say 40-60 people at this thing, trust me - you do not want to be collecting money or splitting the bill. Can you just imagine 40 credit cards landing on the bill fold!! :D
Whether you do this on Friday night is another thing. As Friday will be more casual with people arriving at different times, it may be just as easy for people to order and pay for their own meals.
No doubt this can be thrashed out on the dedicated threads (as suggested by xxup) but I just thought I'd toss these thoughts in now.

I don't want to rain on your party guys, but remember that not everyone shares the same level of enthusiasm for all of the "extra curricular" activities. Some of us purely see this as a chance to take our cars out on a real race track. Just be wary of overcommiting yourselves, we'd hate to disappoint you.

Personally, I think it's worth offering the extra-curricular stuff and if the numbers mean that we just order 5 pizzas somewhere that's fine.
And I don't think any of the organisers are keen to lash out on extra stuff until people have committed to same - i.e. coughed up some dough.

Queensland Update
Well - we now have eight confirmed attendees and I am working on number 9 whom I meet at the Murcott's driver training day today.. Number 10 may take the bait too, but he has not joined this forum yet..
More details are available from https://www.rx8club.com.au/forum/viewtopic.php?t=322

It is very very close. I think we have an agreement on the cost and feature of the Nats. I am excited!
EDIT: Revolver said we don't... but we are definitely NOT on square 1.
We will do something though before the deadline (right people??) so PEOPLE SIGN UP.
REVOLVER SAID sign up to reduce cost!... am I being sued saying that :p

Sheesh - and you reckon lawyers are good at the old verbal. :D
On behalf of the organising committee, I'd like to apologise for Taka's cyber diarrhoea and second Timbo's comments - it's looking very good but we're not there quite yet.
